AI Assistants for Business: Seat Prices and Who Trains on Your Data
What an AI assistant costs per seat for a small team, and what each vendor says in writing about using your company's data to train models.
Quick answer
On 27 October 2026, Claude's Team plan cost $20 per Standard seat per month on annual billing, Notion Business cost $20 per seat with its AI features included, and Google Workspace Starter listed at $7 per user with Gemini in Gmail. All three vendors state in writing that business data is not used to train their models by default. Microsoft 365 Copilot's privacy terms were readable, but its price was not.
For a small business, buying an AI assistant is two decisions: the seat price, and what the vendor does with what your staff type into it. Both are written down. Below we compare what each vendor's pages said on 27 October 2026, quoting the data terms directly rather than paraphrasing them.
Price and data terms side by side
| Assistant | Per seat / month | 10 seats | Training on business data, in the vendor's words |
|---|---|---|---|
| Claude Team | $20 annual / $25 monthly (Standard) | $200 | "None by default"; terms: "may not train models on Customer Content" |
| Notion Business | $20 (AI included) | $200 | "will not use your data to train our models unless you opt in" |
| Google Workspace Starter | $7 (Gemini in Gmail) | $70 | "your company data is not used to train models" |
| Microsoft 365 Copilot | Price not readable | — | Prompts and Graph data "aren't used to train foundation LLMs" |
| Open WebUI | $0 (self-hosted) | $0 + server + models | Depends on the model providers you connect |
Profiles: Claude Team, Notion, Open WebUI.
Claude Team
Anthropic sells the Team plan "for teams of 2 to 150". A Standard seat costs $20 a month on annual billing or $25 monthly, and a Premium seat $100 or $125. The pricing page lists model training on Team content as "None by default". Anthropic's commercial terms state that it "may not train models on Customer Content from Services", and that the customer owns its outputs. Retention and admin controls were not set out on the pages we read.
Notion Business
Notion includes Notion Agent and AI Meeting Notes on Business at $20 per seat per month. Free and Plus get a trial only. Its FAQ says Notion AI "will not use your data to train our models unless you opt in", and that contracts with its AI subprocessors prohibit them from training on customer data. Its comparison table lists "30 day retention" for Business and "Zero data retention" for Enterprise, where it says its LLM providers retain nothing. The AI works inside Notion's documents, which suits teams that already work there.
Gemini in Google Workspace
Google bundles Gemini into Workspace. Starter ($7 per user, list) includes the "Gemini AI assistant in Gmail" and "Chat with AI in Gemini, your company data is not used to train models". Standard ($14) extends the assistant to "Gmail, Docs, Meet, and more". For a team already paying for Workspace, this is the cheapest way to give everyone some AI help. It is narrower than a general assistant seat.
Microsoft 365 Copilot
Microsoft's pricing pages could not be read in our tools, so we give no price. Its privacy documentation, dated July 2026, states: "Prompts, responses, and data accessed through Microsoft Graph aren't used to train foundation LLMs, including those used by Microsoft Copilot." We will add the seat price once it can be read at source.
Can you keep AI on your own server?
Open WebUI is a self-hosted chat interface for the models you choose. There is no licence fee, but read the licence: from version 0.6.6, deployments with more than 50 users in 30 days may not remove the Open WebUI branding without written permission or an enterprise licence. The project itself calls the licence "not an OSI-approved 'open source' license". Conversations stay on your server. What happens to prompts sent to a model depends on that provider's terms. You will need a server, which our server comparison prices.
How to choose
- Already on Google Workspace: use the Gemini features you already pay for before buying more seats.
- Already in Notion daily: Business brings AI into the documents you use.
- A general writing, analysis and coding assistant: Claude Team, with Premium seats only for heavy users once you have confirmed how seat mixing works.
- Data must stay on your infrastructure: Open WebUI, minding the 50-user branding rule.
ChatGPT Business is not priced here because OpenAI's pages refused our requests. Chat apps carry data terms too: see the statements in our team chat comparison. For code hosting and deployment seats, see our developer platforms guide.
Key points
- Claude Team Standard seats cost $20 a month annually ($25 monthly); Premium seats $100 ($125), for teams of 2 to 150.
- Notion's AI agent and meeting notes are included on Business at $20 per seat; Free and Plus include a trial only.
- Google Workspace Starter lists Gemini in Gmail at $7 per user; Standard ($14) extends it to Docs and Meet.
- Anthropic, Notion, Google, Microsoft and Slack all state in writing that customer data is not used to train their models by default.
- Open WebUI is free to self-host, but its licence is not OSI-approved and restricts removing its branding above 50 users.
Questions
Do business AI plans train on our company data?
The vendors we read say no by default. Anthropic's commercial terms say it may not train models on Customer Content. Notion says it will not train on your data unless you opt in. Google's Workspace page says company data is not used to train models, and Microsoft says Copilot prompts and Graph data are not used to train foundation models.
What is the cheapest AI assistant for a team of 10?
If your team already uses Google Workspace, Starter at $7 per user includes Gemini in Gmail, though that is narrower than a general assistant. As a standalone assistant, Claude Team Standard seats cost $200 a month for 10 people on annual billing. Notion Business costs the same, but its AI works inside Notion.
Is Notion AI included in every Notion plan?
No. Notion's pricing page shows a trial of Notion AI on Free and Plus. Notion Agent and AI Meeting Notes are included from Business, at $20 per seat per month. Custom agents are free to try, then $10 per 1,000 monthly Notion credits.
Can we run our own AI chat for staff?
Yes. Open WebUI is a self-hosted chat interface you connect to the models you choose, with no licence fee. Its licence, from version 0.6.6, forbids removing Open WebUI branding for deployments above 50 users in 30 days unless you hold permission or an enterprise licence. It is not OSI-approved.
Why are ChatGPT Business and Microsoft 365 Copilot prices missing?
OpenAI's pricing and business pages refused our requests on 27 October 2026, and Microsoft's Copilot pricing pages timed out or were refused. We publish only prices read on the vendor's own page. We quote Microsoft's privacy documentation, which we could read, and will add both prices once they can be confirmed.
